Mnemonic is an international non-profit organisation founded in Berlin in 2018. Our mission is to promote human rights and accountability through the preservation and verification of open-source digital information.
We are human rights defenders, lawyers, archivists, journalists, technologists, and open-source investigators dedicated to preserving, memorialising, and adding value to publicly available information related to human rights violations. We use our unique position as a cross-sectorial, cross-disciplinary organisation to help human rights defenders hold those in power to account.

About the Opportunity
We are seeking a proactive and experienced Grants & Finance Officer to support our programmes and organizational operations. This role will focus on delivering high-quality administrative, financial and HR support to ensure the smooth functioning of all programmatic activities at Mnemonic. Your primary objective will be to ensure financial accuracy, compliance and transparency for Programme Managers, while supporting the day-to-day management of the organisation's work.
Main Responsibilities
Financial Management
- Oversee internal financial operations, including reviewing staff expense claims and supporting documentation.
- Prepare weekly payment runs in accordance with the agreed timetable and financial controls.
- Compile monthly expense reports and ensure project expenditure aligns with donor requirements.
- Maintain and monitor organizational accounts, financial records, and a strong control environment to ensure accuracy and compliance.
- Support timely delivery of high-quality financial reports, in regular intervals, for donors and internal stakeholders.
- Monitor program budgets and provide required financial reporting, ensuring adherence to donor guidelines.
Administrative Support
- Provide administrative and operational support to managers, including clerical and organizational tasks as required.
- Organize and schedule meetings, appointments, and events, ensuring effective coordination and communication.
- Take accurate minutes of meetings and distribute them promptly.
- Support logistics planning and coordination for in-house training sessions, workshops, and international or local events.
Human Resources Support
- Assist in recruitment processes, including advertising job vacancies, scheduling interviews, and onboarding new staff.
- Maintain up-to-date personnel records and ensure compliance with HR policies and procedures.
- Support staff development initiatives, including training coordination and performance review processes.
- Act as the first point of contact for HR-related inquiries and support a positive work environment.
Required skills and qualifications
- Education: Bachelor’s or Master’s degree in Accounting, Management, Applied Economics, Finance or related fields, or equivalent professional experience.
- Technical Expertise: Strong knowledge of project accounting, donor compliance, and financial reporting with 1-2 years of experience. Advanced proficiency in MS Office, especially Excel, and familiarity with reporting software.
- HR Skills: Basic understanding of HR processes, including recruitment and personnel management, with a willingness to learn.
- Organizational Skills: Excellent attention to detail, time management, and ability to handle multiple tasks simultaneously.
- Interpersonal Skills: Exceptional communication and collaboration skills, with the ability to work effectively in a diverse, international team.
- Problem-Solving: Proven ability to take initiative and address challenges proactively.
- Language Proficiency: Excellent written and spoken English.
We Offer
A part-time or full-time position for an initial period of 12 months (project-based work), with a high prospect of extension depending on funding availability and performance.
