    Einführung

    The Project Finance and Administration Officer is responsible for managing office and vehicle workshop stocks, preparing reports on expenses and office budgets, and providing finance and administrative support to projects in the Mid Zambezi Valley. The role requires strong organizational skills, knowledge of logistics and stock/asset management, and proficiency in Microsoft Excel and MS Office. A Bachelor's degree in Finance, Accounting, Administration, Logistics, or equivalent is required, along with at least three years of work experience as a Finance and Administration Officer. The ideal candidate should have excellent communication skills, attention to detail, and the ability to work as part of a team in a multicultural environment.

    Aufgaben

    • Manage vehicle workshop stores and procure project supplies
    • Facilitate system procurement process and related inventory updates
    • Liaise with vendors and service providers on all procurements
    • Procure, deliver, distribute, and monitor key items
    • Input and submit invoices with adequate documentation
    • Prepare, issue, and manage allowance system
    • Manage petty cash float and process payments
    • Process staff travel advance requests/reimbursement
    • Review trip retirements and identify any issues
    • Prepare regular reports on expenses and office budgets
    • Perform periodic supplier statement reconciliations
    • Ensure complete posting of all expenses
    • Scan and file financial documents
    • Perform internal and external customer circularization
    • Adhere to organization policies
    • Prepare relevant reports with statistical data
    • Perform other relevant duties as assigned

    Voraussetzungen

    • Bachelor’s Degree in Finance, Accounting, Administration, Logistics, or equivalent
    • At least three years of proven work experience as a Finance and Administration Officer
    • Strong level of competence in Microsoft Excel and MS Office
    • Strong organizational skills and a problem-solving attitude
    • Ability to work as part of a team in a multicultural environment
    • Knowledge of any accounting system is an added advantage
    • Ability to pay attention to detail and follow instructions
    • Self-organized and having own initiatives
    • Easy to train and willing to learn
    • Ability to manage sensitive and confidential matters
    • Excellent written and verbal communication skills
